Privacy Policy

IronByte Solutions LLC (“IronByte Solutions,” “we,” “us,” or “our”) provides cybersecurity protection and device management services to small businesses. This Privacy Policy explains what information we collect through ironbytesolutions.com (the “Site”) and in the course of providing our services, how we use it, and the choices available to you. It does not apply to third-party sites we link to, or to the separate privacy practices of the software platforms we use to deliver our services, which are listed in Section 4.
1. Information We Collect
Visitors to our Site. If you fill out a contact form, request a quote, or email us, we collect what you provide, typically your name, business name, email address, phone number, and the content of your message. If our Site uses analytics or cookies, we collect standard technical information such as IP address, browser type, and pages visited; see Section 5.
Prospective and current clients. When a business engages us or requests a proposal, we collect business contact information, billing information, and details about the devices, user accounts, and platforms (such as Microsoft 365 or Google Workspace) we are asked to protect or manage.
Information processed while delivering the Services. To provide monitoring, email security, patch management, DNS filtering, backup, and password management services, our tools process information that exists on or flows through a client’s enrolled devices and accounts, which may include device identifiers, file metadata, network and security event logs, and, where a client subscribes to backup or password management, the underlying files or credentials themselves. We collect and access this information only as needed to deliver the services a client has engaged us for, and only within the scope described in the applicable Master Services Agreement.
2. How We Use Information
We use the information described above to:
- provide, maintain, and improve the Services;
- respond to inquiries and provide quotes or proposals;
- bill for and administer client accounts;
- detect, investigate, and respond to security threats and alerts on enrolled devices and accounts;
- communicate with clients about their service, including account administration requests and quarterly reviews; and
- comply with legal obligations and enforce our agreements.
We do not use client data processed while delivering the Services for advertising, and we do not sell personal information.
3. How We Share Information
Service providers. We use third-party software platforms to deliver the Services. These providers process information on our behalf, subject to their own terms and security practices, and only to the extent needed to deliver the function described:
- Huntress, for endpoint detection and response;
- IronScales, for email security and phishing protection;
- Control D, for DNS filtering;
- Action1, for vulnerability and patch management;
- Level.io, for remote monitoring and device management;
- CrashPlan, for clients who subscribe to local device backup;
- Bitwarden, for clients who subscribe to password management; and
- standard business tools for billing, scheduling, and communication.
We do not sell personal information or share it with third parties for their own marketing purposes. We may disclose information if required by law, subpoena, or legal process, to protect the rights, property, or safety of IronByte or others, or in connection with a merger, acquisition, or sale of business assets, subject to confidentiality obligations.
4. Third-Party Platforms
The platforms listed in Section 3 have their own privacy policies governing how they handle data on their systems. We select platforms based on their security and privacy practices, but we do not control, and are not responsible for, their independent data practices. 5. Cookies and Analytics
Our Site may use cookies or similar technologies to remember basic preferences and understand how visitors use the Site, which may include a standard web analytics service. You can control cookies through your browser settings; disabling cookies may affect some Site functionality.
6. Data Retention
We retain information only as long as needed for the purposes described in this Policy, to provide the Services under an active engagement, or as required by law. Our separate Data Retention and Destruction Policy governs how long specific categories of information are kept and how they are destroyed; a summary is available on request.
7. Data Security
We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, use, or disclosure, consistent with our internal Written Information Security Policy. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Privacy Choices and Rights
California residents. If you are a California resident, the California Consumer Privacy Act (CCPA), as amended, may give you the right to know what personal information we have collected about you, request deletion of that information, correct inaccurate information, and opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by the CCPA. To exercise a privacy right, contact us using the information in Section 11; we may need to verify your identity before responding.
All visitors. You may request that we correct, update, or delete personal information you have submitted through our Site by contacting us directly.
9. Children’s Privacy
Our Site and Services are directed to businesses and are not intended for individuals under 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated effective date. Material changes affecting current clients will be communicated separately where appropriate.
